In short
- Prepare the documents, local instructions and task owners before the birth.
- Check the detailed birth-registration rule, including weekend and holiday extensions.
- Keep birth registration, insurance and the different child-related benefits as separate tasks.
- Finish a task by saving its confirmation and following up if something is missing.
The first days with a baby are a poor time to start searching through several organizations’ websites. You can do much of the preparation beforehand: identify the right instructions, check access to your accounts and agree who will carry out each task. After the birth, you can fill in the information that was not yet available.
The sequence below is for organizing ordinary Dutch administration. If a parent lives or works abroad, the baby is born abroad or your family situation needs a different route, use the relevant organization’s individual instructions before applying.
Make a one-page handover
Create a simple sheet with the organization, its official page, the person doing the task and what counts as finished. Avoid writing only “sort benefits.” Several separate processes sit behind that phrase.
| Task | Prepare beforehand | What to save afterwards |
|---|---|---|
| Birth registration | Local process, document list and who will do it | Confirmation or the municipality’s next instruction |
| Health insurance | Chosen insurer and how to enrol the baby | Confirmation showing the baby’s coverage |
| Child benefit | Where to find SVB messages and application instructions | Application confirmation or SVB decision |
| Child-related budget | Whether to check for an automatic award or apply | Message, calculation or application confirmation |
| Childcare benefit, if relevant | Contract details and the correct application instructions | Application details and a reminder to check changes |
The sheet can be shared with a partner or trusted support person. Account access and signing still need to follow the organization’s own rules. Preparation is useful even when somebody cannot legally or practically complete a task for you.
Check birth registration first
Register the birth within three days, excluding the birth day. If the final day is a weekend or public holiday, the period extends by a working day; it extends again if that leaves only one working day. You must have at least two working days. Use the detailed government explanation, not a blanket “three working days” rule.
Before the birth, read the relevant municipality’s process and ask which documents it needs for your circumstances. Put its appointment or online instructions on the handover sheet. If recognition or surname choice is still outstanding, ask about those before assuming the routine registration process covers everything. Our parentage and surname guide helps you prepare those questions.
If a deadline is close and an appointment or document is missing, contact the municipality promptly. Keep the answer rather than guessing an extension yourself.
Enrol your baby with a health insurer
Children need their own registration with a health insurer. Arrange it within four months after birth. Basic insurance for children under eighteen has no premium or deductible. Read the government’s insurance explanation and your insurer’s enrolment instructions.
Treat sending the form and receiving confirmation as different steps. Check that the baby’s name and birth date are correct and ask the insurer to clarify anything missing from the confirmation. Put a follow-up on your list if the application remains unanswered.
Keep the different payments separate
Kinderbijslag is child benefit administered by SVB. After the municipality passes on the birth, SVB sends information about applying. For a further child, a new application is usually unnecessary. Follow SVB’s own instructions, including the route for your living situation.
Kindgebonden budget is a separate payment from Dienst Toeslagen. If you already receive childcare benefit, housing benefit or healthcare benefit, it is awarded automatically when you qualify. Otherwise check whether you need to apply. See the official application guidance.
Use separate task names and save the relevant message for each. A child-benefit application does not, on its own, tell you that every other payment has been arranged.
Prepare childcare benefit for the actual start
If you will use childcare, check the application separately. Dienst Toeslagen says to apply within three months after childcare starts to avoid missing money. Read its current conditions and timing.
Keep your actual agreement nearby when applying and compare the inputs with your childcare budget. If the date or hours are still provisional, leave a clearly named task to confirm them. A calculator result is not evidence that an application was submitted.
Define what “done” means
For each item, write a short completion note: sent on this date, confirmation received here, next action if needed. This is especially useful when two people divide the work. It avoids both sending duplicate requests because nobody knows what happened and assuming that an unsent draft was completed.
For example, one person might prepare the local registration instructions while another finds the insurance enrolment page. After birth, they check their assigned tasks in short, manageable sessions. If circumstances change, update the sheet rather than relying on the original plan.
End by checking that each open task has a next action. “Waiting” should say who you are waiting for and when you will follow up. That turns a collection of paperwork into a small process you can actually finish.
